Should I track maintenance by Laps, Races or Runs?

That answer depends on what type of class you race:

Laps (Recommended for Stock Car Racing) – Tracking maintenance by laps provides the most accurate measure of wear and tear. This ensures your maintenance schedule aligns with actual usage. Unlike counting race nights, laps account for:

  • Extra-distance races
  • Laps from heat races or consolation races
  • Shortened nights due to early exits

Races (Best for Karting & Short-Distance Racing) – Useful when lap counts per race are relatively consistent.

Runs (Best for Drag Racing & Tractor Pulling) – Ideal for motorsports where performance is measured in passes or pulls rather than laps.

I configured my first race car, can I copy that configuration to a second car?

Yes. If you have two similar race cars, you can easily copy the configuration from the first car to the second without setting it up manually.

  • Configure your first race car with the necessary settings, including dashboard items, maintenance thresholds, and inspection checklist.
  • Select your second car and navigate to: Dashboard → Settings → Clone from Existing Car.

This will apply the same configurations to the second car.

How is Race Class used?

When setting up a new race car in the app, choose the race class that best matches your racing type. RacePrep uses this selection to:

  • Suggest relevant maintenance items
  • Recommend threshold values
  • Provide a tailored inspection checklist

You can then select the items you want to track and input your current lap or race count for each component.

TIP:  Don't stress about getting the list perfect from the start. You can edit or change these items anytime. If your race class isn't available, you can create a custom Dashboard Component List and Inspection List from scratch.

Can we track multiple race cars in different classes?

Yes, with RacePrep, you can track up to 10 race cars, each with its own Dashboard and Inspection Checklist. Switch between cars by swiping left or right on the car dashboard.

To add a new car:

  1. Go to Menu → Manage Race Cars → Add a New Race Car.
  2. Select Add a car to your team.
TIP:  Start by building one car's configuration. Then, when you purchase a second car, you can clone the dashboard settings from your first car to the new one.

Where do I reset my profile picture and password?

  1. Go to Menu → Tap on your name.
  2. Select Profile Page.
  3. From the profile page, you can:
    • Upload your profile photo by clicking Upload Profile Photo.
    • Edit your account information, including name, email, and password.

Can I use my own race car photo?

Yes, you can easily update your race car photo.

  • From the dashboard, choose the pencil next to the car name on the dashboard
  • Upload a photo of your race car.

How do I decide what to track on my Dashboard and Inspection Checklist?

RacePrep comes with a pre-populated library of Dashboard Maintenance Items, Inspection Checklist Items, and parts & supplies. When you select your car class, RacePrep AI will automatically choose default selections that are relevant to your racing type. These defaults include:

  • Component names
  • Lap thresholds
  • Notification thresholds

You can edit these defaults and enter a current lap count for each component during the initial setup. Additionally, you can make changes at any time from the dashboard of the selected car.

BEST PRACTICE:  Just get started! If you're unsure about tracking a specific item, add it to your list. It doesn't need to be perfect because you can Add, Edit, or Delete items at any time.

How to switch from Demo Mode to my own team?

You can purchase a subscription for your team by going to the Demo Banner at the top of the page or by navigating to Menu → Manage Race Team → Subscription.

NOTE:  The Demo Account data is shared and reset daily, so be sure to upgrade to a full subscription for permanent tracking.
BEST PRACTICE:  If you plan to use RaceTrips for multiple cars in the same class (where maintenance and inspection checklists are similar), configure the first car and then clone the setup to the other similar cars for quick and consistent setup.

Dashboard

  1. Go to Dashboard.
  2. Slide the Dashboard item card to the left to display action options.
  3. Select Edit.
  4. Adjust the threshold as needed.

How do I add custom items to the dashboard?

To create a custom dashboard card:

  1. Go to Dashboard → Tap the Settings (Gear) Icon → Select Create Custom Dashboard Card.
  2. Set your thresholds and enter any existing laps on the component. Tap the checkmark to save.
  3. To add another component card immediately, tap the “+” button before saving.
TIP: Including a Maintenance Action in the name is useful. Use words like Change, Replace, Check, Inspect, Tighten.
TIP: Use the notes section for instructions, reminders or a date of expiration that are displayed on the dashboard with the component.
TIP: For components that may be moved between cars or set aside as a spare like Engines, Transmission, Rear-End or Chassis - include a unique identifier or serial number in the name.

How do Lap Threshold settings work?

Maintenance Threshold (Red) – When a component reaches this threshold, the dashboard indicator turns red, and the item is automatically added to Maintenance Tasks → Action Now. Tasks in this list require immediate attention, indicating that maintenance is due.

Notification Threshold (Yellow)  – This warning level triggers the dashboard indicator to turn yellow and adds a maintenance alert to the Maintenance Tasks → To Do Soon list. It helps you stay ahead of upcoming maintenance by planning in advance and ensuring you have the necessary replacement parts on hand. Simply add the required parts to your shopping list to stay prepared.

How do I update the dashboard after my race day?

Easily record and track laps for all critical components across one or multiple race cars using your dashboard.

To update your dashboard:

  1. Navigate to Dashboard → Select the car you raced → Update All Laps.
  2. Enter the number of laps completed, race date, and track or series name.
  3. Laps will be added to all components on your dashboard automatically.

Maintenance Alerts & Adjustments

  • Components needing immediate maintenance will turn red, while upcoming maintenance tasks will turn yellow, based on your set thresholds.
  • To adjust thresholds, swipe left on a component and tap Edit. Use the checkmark to save changes.

Weekly Inspection Checklist

  • After entering laps, a pre-selected checkbox allows you to reset the weekly inspection checklist, clearing it for your next inspection.

Maintenance Task List

How do I reset the Maintenance Task list after a race?

To reset the Maintenance Task list after a race:

  1. When you complete an item on the Maintenance Task -> Action Now list, it will reset the corresponding Dashboard component to "0" laps.
  2. RacePrep will also log an entry in the Component History to track the task completion.

This process ensures that your components are properly reset and recorded for future use.

How do I clear items off when they are completed?

Use the broom icon to clear completed items from the Maintenance Task list.

How are activities added to the maintenance task list?

There are three ways maintenance tasks can be added to the Maintenance Task list in RacePrep. Any time one of these Maintenance Tasks are completed, RacePrep will RESET your Dashboard component to “0” laps and log an entry in the Component History.

Automatically from the Dashboard:

  • When a component reaches its maintenance threshold, the dashboard indicator turns red, and the component is automatically added to the Action Now list.
  • Selecting an item from the Action Now list will assign it to the person completing the task, showing their avatar and marking it as completed.
TIP: Use the broom icon to clear completed items from the list.

Automatically from the Inspection Checklist:

  • While reviewing an item on the Inspection Checklist, you can flag it for parts order, repair, or replacement by using the Lightning Bolt icon.
  • Tasks flagged with the Lightning Bolt are automatically added to the Action Now Maintenance Task List and relevant parts are added to the Shopping List.
EXAMPLE:  Your inspection task is to “Inspect Front Axle” and you find that it’s bent. 1) Use the Lightning Bolt → Add Maintenance Task: "Straighten the Front Axle." 2) Use the Lightning Bolt → Add To Shopping List: "Send Front Axle to be Straightened." 3) RacePrep will automatically add both tasks to the Maintenance Task List and the Shopping List. 4) RacePrep AI learns these tasks and part orders for future inspections.

Manually Add Task:

  • Tap the “+” icon to manually add a new maintenance item to the Action Now list.

What is the difference between Action Now and To-Do Soon?

Action Now:

  • Tasks in this list require immediate attention and need to be completed before the next race. These typically involve replacement or repair of components that are critical for your car's performance.

To-Do Soon:

  • Tasks in this list have hit the Notification Threshold and will need attention soon. These are more of a reminder to help you plan ahead.

  • Check this list for items you may need to purchase and add them to your RacePrep Shopping List to ensure you have the necessary parts when maintenance is due.

What is the Maintenance Task List?

The Maintenance Task list helps you track activities that need to be completed on your race cars. RacePrep is designed for multi-user collaboration, allowing your entire crew to participate in managing tasks.

Key Features:

  • Quick Links to your Active Shopping List or Parts and Supplies.

  • Tabs allow you to “View by Car” (displays tasks for the currently selected car) or “View All” (shows and organizes all tasks for all of your race cars).

  • Tap on any section header to collapse it for easier navigation.

  • Tap the open circle button to mark a task as completed. The avatar of the person who completed the task will be displayed. Tap again to deselect it.

  • The Action Now “+” button allows you to add a new task. If you have multiple cars, you can select the car(s) for this task.

  • The Broom Icon at the top removes all completed items from the list.

  • When you complete Action Now tasks from the Dashboard, the lap count for the component is reset to 0.

  • To Do Soon items are reminders for upcoming tasks, helping you plan ahead and order necessary parts or supplies.

Weekly Inspection

How do I use the Weekly Inspection Checklist?

We encourage you to use these best practice tips for your Weekly Inspection Checklist workflow:

  1. Inspect and Check Off Items:  Go through each section of the checklist and check off the items you have inspected. The Avatar of the person who completed the task will be displayed, and the item will be marked as completed by crossing it off the list.
  2. Collapse Categories:  Once you've completed a section, collapse it using the category name or the Up Arrow.
    • Use the Counterclockwise Arrow at the top of the page if you want to clear all completed inspection items.
  3. Quickly Check Off All Items: You can quickly check off all items in a category by clicking the Circle next to the category name.
  4. Flag Issues: If you find an issue during your inspection, use the Lightning Bolt to flag it for parts order, repair, or replacement.
    • Tasks added from the Lightning Bolt will automatically be added to the Action Now Maintenance Task List
    • Parts you need to order will be added to the Shopping List.
    • RacePrep AI learns the Maintenance Tasks and Parts To Order for similar issues during future inspections so you can quickly add them.
EXAMPLE:  Your inspection task is to “Inspect Front Axle” and you find that it’s bent. 1) Use Lightning Bolt → Add Maintenance Task: "Straighten the Front Axle." 2) Use Lightning Bolt → Add To Shopping List: "Send Front Axle to be Straightened." 3) RacePrep will automatically add these items to the Maintenance Task List and Shopping List. RacePrep AI remembers these items with the task you can add them with a single click.
TIP:  Use the Shopping List to track the items you need to buy.
TIP:  Use the Maintenance Task List to track the repairs or replacements for the identified issues.
TIP:  When you add laps to the Dashboard for the current car, RacePrep will automatically reset the Inspection Checklist for that car, preparing it for the next inspection.

What does the lightning bolt do?

When reviewing an item on the Inspection Checklist, you can flag any issues for parts order, repair, or replacement by using the Lightning Bolt.

  • Tasks flagged with the Lightning Bolt are automatically added to the Action Now Maintenance Task List.
  • Any parts that need to be ordered are automatically added to the Shopping List.
NOTE: RacePrep AI learns from your flagged tasks and parts orders, so the next time a similar issue arises during an inspection, it will suggest the appropriate maintenance tasks and parts.

How do I customize the Weekly Inspection Checklist?

Each race team's Weekly Inspection Checklist may be unique to them. Here's how to customize yours:

  1. Start with the Pre-Populated Checklist:  When you select your race class and set up your car configuration, RacePrep automatically generates an inspection checklist using our recommended tasks from racers like you.
  2. Add or Edit Checklist Items. The checklist items are organized by category (e.g., Engine, Suspension) for easy management.
  3. Customize each item if you’d like. To customize the checklist for your current car, go to Weekly Inspection → Settings Icon.
  4. Add new tasks or edit existing ones to better fit your needs.

Available functions:

  • Select from Library: Use the on/off switch to add or remove inspection items from the library.
  • Clone from Existing Car: Copy inspection tasks from a car you've already set up.
  • + Create Custom Task: Add a new custom inspection item. If you have multiple cars under subscription, you can apply the custom task across all cars simultaneously.

Save Options:

  • Tap the checkmark to save your custom task.
  • Tap the “+” icon to save and immediately add another new task.

What is the Weekly Inspection Checklist List used for?

The Weekly Inspection Checklist ensures you're fully prepared to race. If you have multiple cars, each race car in RacePrep has its own checklist.

How It Works:

  1. Navigate to your car on the Dashboard → Menu → Weekly Inspection. This is your pre-race checklist, organized into categories like Engine, Driveline, Front-End, Suspension, etc.
  2. Crew Members with a login can check off items on the list as they are completed.
  3. If an issue is found, use the Lightning Bolt to flag the problem for parts order, repair, or replacement.
  4. Tasks added using the Lightning Bolt are automatically transferred to the Action Now Maintenance Task List, and parts to order are added to your Shopping List. RacePrep AI learns the tasks and parts you need for future inspections.
BEST PRACTICE: It’s easiest to have one individual complete each section to ensure nothing is missed.

How do I add a new item to the Parts and Supplies List?

There are a few ways to add a new item to your Parts and Supplies List:

  • Search / Add Box:   Start typing the new item you want to add. The Smart Search will start checking for a part that already exists using real-time suggestions as you type. If there is no match, use the “+” to create a new item in the Parts and Supplies Library.  Enter the item attributes and use the Checkmark to Save or the “+” to Save and Add New. Attributes for Part Number, Manufacturer, Supplier and notes are all displayed.
  • Search for an Item:  Start typing the name of the new item in the Search/Add Box. As you type, Smart Search will provide real-time suggestions for matching items from the library.
  • Create a New Item:  If there is no match, click the “+” button to create a new item in the Parts and Supplies Library. Enter the item attributes and use the Checkmark to Save or the “+” to Save and Add New. Attributes for Part Number, Manufacturer, Supplier and notes are all displayed.

When adding a new item to the Parts and Supplies Library, here are the attributes you’ll need to fill out:

  • Name/Description (Required):  The name you type becomes the default name for the item. You can either keep it as-is or change it.  We recommend adding more detail in the name for clarity.
BEST PRACTICE: Be descriptive. For example, it’s better to write “Engine Oil: Maxima Semi Syn 20w-50” instead of just "Oil".
  • Add to Shopping List:  The checkbox is pre-selected by default for Add to Shopping Cart, which will automatically add the item to your shopping list as they are created.  If you’re only adding the item to your library and don’t want it on the shopping list, uncheck the box.
  • Category (Required):  Choose the appropriate category that best represents where you want this item to appear when browsing the list.
  • Part Number (Optional):  Enter the Manufacturer Part Number if available.
  • Manufacturer (Optional):  Enter the name of the manufacturer who makes the item.
  • Purchased From (Optional):  Add the name of the supplier you purchase from.
  • Shopping Link URL (Optional):  Add a direct link to the supplier's website for the item’s page. This will display as a Shop Button on your shopping list, making it easy to purchase directly from the supplier.
  • Notes (Optional):  This is for useful info that is displayed with the item. Examples:
    • "Case of 12"
    • "Box of 8 Plugs"
    • "$9.95 / can"
    • "Charge Extra for Credit Card. Pay by check or cash."
    • "Alternate Supplier is XYZ"
    • "Phone Number, Address or Website address"

Once you fill in these fields, use the Checkmark to save the item. If you want to add another, use the “+” to save and add a new item.

How does the (Shopping Cart) Add button work?

The Add button places the selected item on your shopping list. During the process, you can adjust the quantity using the up and down arrows.

What does the star in the first column do?

When you Star or favorite an item, it will be moved to the top of its category section in alphabetical order, making it easy to access next time. This feature helps you prioritize and quickly access your most-used items.

  • Starred items will appear first, above all non-starred items.
  • All other items will be listed in alphabetical order after the starred items.

What is the Parts and Supplies library?

The Parts and Supplies Library is a centralized location for all your frequently used parts and supplies across your race cars. It allows you to store essential details such as:

  • Part numbers
  • Manufacturer information
  • Supplier names
  • Installation notes
  • Direct links to suppliers for online ordering
TIP:  Add your service vendors to the Parts list. Use notes for the contact info. As an example: Name: Service:Straighten Axle Category: Parts Purchased From: Mr. Axle Notes: Ask for Bobby. Phone 123-456-9999. 97 Main Street.

The library is organized alphabetically with categories for Parts, Supplies, and Specialty Items from partners. You can easily collapse sections by selecting the section header.

BEST PRACTICE:  Conduct a weekly review by walking through your shop and trailer each week, adding items to the library as a checklist. Use the Yellow Star to prioritize important items, moving them to the top of the section in alphabetical order for quick access.
BEST PRACTICE:  Add items in real-time when you run low on spare parts or supplies at the races. You can immediately add them to the shopping list while you're still on-site. This ensures you’re always prepared for the next event.

  1. Start Typing in the  Search / Add Box at the top of the Shopping List
  2. If the item you are looking for  does not show in the type ahead list, you can add it as a One-Off Item.

Adding Items from the Parts & Supplies Library

  1. Use Search / Add Box at the top of the Shopping List
  2. If the item exists in Parts & Supplies, it will show in the type ahead list.
  3. Select it to add it to the Shopping list.
